Motor Carrier Safety Policy Services

This website, operated by Hoffenmer Inc., provides Motor Carrier Safety Policy templates and compliance services for employers hiring CDL drivers engaged in safety-sensitive functions, in accordance with 49 CFR ยง 385.3 requirements.

Service Description

Our Motor Carrier Safety Policy service includes: comprehensive safety policy handbook updated for 2026 FMCSA regulations, driver's daily driving fitness checklist, individual vehicle distance record templates, driver qualification guidelines, regulatory compliance guide, and implementation support. The client acknowledges that enforcement and implementation of safety policies is the sole responsibility of the motor carrier.

Processing Timeline

Safety policy requests are typically processed and delivered within 2-7 business days from the date of order. However, processing times may vary based on workload and customization requirements. Hoffenmer cannot guarantee specific delivery timeframes.

Client Responsibilities

The client must provide accurate and complete information regarding their company operations, DOT/MC numbers, and specific compliance needs. The client is solely responsible for reading, understanding, implementing, and enforcing the safety policies provided. Hoffenmer provides templates and guidance but does not guarantee compliance outcomes or safety ratings.

Policy Enforcement and Compliance

Having a safety policy on file is an important step toward safety compliance. However, it is the enforcement of the policy that may have an impact on safety scores should an FMCSA Audit or Compliance Review take place. The client is fully responsible for actionable enforcement of all safety policies provided.

Add Drivers to Policy

Clients who have obtained a Motor Carrier Safety Policy from Hoffenmer may request to add additional drivers to their existing policy. Proof of original policy filing will be required. This service is subject to additional fees.


Fees and Payment

Service Fees

All service fees are clearly disclosed prior to processing and must be paid in full before delivery of safety policy materials. Service fees cover policy template preparation, customization, and delivery.

Refund Policy

All service fees are final once the safety policy has been delivered to the client. Refunds will be considered if requested within 48 hours of payment and the safety policy has not yet been processed or delivered. Refunds are not available once the policy has been delivered, as processing work has been performed.

Payment Methods

We accept major credit cards, debit cards, and electronic payments through secure payment processors. All payment information is processed through PCI-compliant secure systems.

Message and Data Rates

Hoffenmer does not charge fees for sending notifications. However, your mobile carrier may charge standard rates for text/SMS messages. Message and data rates may apply. Message frequency may vary.

Opt-Out

To stop receiving text messages, reply "STOP" to any message you have received from Hoffenmer Inc, or contact our support center at 240-544-0878. All opt-out requests are processed immediately.

Service Provision

Service Modifications

Hoffenmer reserves the right to modify, adjust, or otherwise change the manner in which its services are provided at any time, at its sole discretion. These changes may be made to enhance quality, efficiency, compliance, or security of the services.

Additional Information Requirements

Certain safety policy requests may require supplemental information or supporting documents. Clients will be notified if additional materials are necessary. If the requested information is not received within sixty (60) days from the date of order, the request will be considered incomplete and may be dismissed.

Hoffenmer is a private third-party service provider and is not affiliated with, endorsed by, or sponsored by the Federal Motor Carrier Safety Administration (FMCSA) or the U.S. Department of Transportation (DOT). All trademarks, service marks, and trade names referenced on this site are the property of their respective owners.

While Hoffenmer strives to provide accurate and comprehensive safety policy templates, we cannot guarantee compliance outcomes, safety ratings, or audit results. The safety policy provided is a template and guide. Hoffenmer is not responsible for the client's implementation, enforcement, or lack thereof of safety policies. The client retains sole responsibility for safety management controls and FMCSA compliance.

By accepting this safety policy, the client agrees to hold harmless Hoffenmer Inc., its subsidiaries and agents for any harm incurred by the acceptance, use, or lack of use of this policy.
